There is a version of Microsoft 365 that looks like Outlook and a Word icon on the taskbar. That is not what you are paying for. That is what you are using. The gap between those two things is where most Milwaukee small businesses leave real money and real security on the table every month.

On July 1, 2026, Microsoft raised prices across most commercial plans. Business Basic went from $6 to $7 per user per month. Business Standard went from $12.50 to $14. Business Premium held flat at $22. If your renewal has already come and gone since then, you are already paying the new rate. If it is coming up in the next few months, this is the moment to look at what you have — because for the first time in years, the pricing math on the higher-tier plans actually favors you.

Microsoft rolled out its largest commercial pricing change since 2022 on July 1. The full breakdown for the plans most Milwaukee small businesses use is below.

All prices are per user per month with an annual commitment. Existing customers stay at the old rate until their next renewal, so a business that renewed in June 2026 has about 11 months to plan before the new pricing kicks in.

The interesting move here is that Business Premium held flat. The gap between Standard and Premium used to be $9.50 per user per month. It is now $8. For a 20-person business, that is $1,920 a year to upgrade to Premium instead of Standard, and Premium adds device management, endpoint protection, advanced email security, and data protection tools that most businesses would otherwise buy separately for far more than that. Microsoft is deliberately closing the gap because they want more small businesses on Premium. For a lot of Milwaukee businesses, the upgrade math actually makes sense now in a way it did not before.

A Milwaukee Story

A 15-person law firm in Wauwatosa was on Business Standard at $12.50, paying $2,250 a year. They were also paying a separate vendor $8 per user per month for endpoint antivirus, another $6 per user for a device management platform, and $4 per user for an email filtering add-on. Total across the stack: about $6,500 per year.

Business Premium at $22 per user per month replaced every one of those tools with better versions of the same features. Total cost after consolidation: about $3,960 per year. They saved roughly $2,500 annually and ended up with tighter security than they had before.

Six Features You’re Paying For Right Now

Every one of these is included in a Microsoft 365 plan your business likely already has. None of them require new software. Most require an afternoon of proper configuration to switch on.

Feature 1

SharePoint

Included in Basic, Standard, and Premium

Most small businesses treat SharePoint as the thing that sits under Teams, storing files that get shared in chat. That is a fraction of what it does. SharePoint is a real intranet platform. You can build internal document libraries with proper version control, structured folder permissions, company policies pages, HR forms, an announcements board, and searchable knowledge bases. All of it is included in your license. The alternative is paying separately for tools like Confluence or Notion, which cost between $5 and $10 per user per month for the same functionality.

The reason most small businesses don’t use SharePoint properly is that the initial setup takes real thought. You need to design your document structure, set permissions correctly, and train the team on where things live. Once it is set up, it is genuinely one of the highest-leverage things a small business can do to reduce daily friction.

Microsoft Defender for Business

This is the endpoint detection and response tool that ships with Business Premium. It is enterprise-grade endpoint protection — the same underlying technology that Microsoft sells to Fortune 500 companies through their higher-tier Defender products. Traditional antivirus looks for known threat signatures. Defender for Business uses behavioral analysis to catch things that have never been seen before, including the kind of business email compromise and ransomware patterns we covered in our earlier article on choosing an IT provider in Milwaukee.

If you are on Business Premium and have not turned Defender on, you are running with the seat belt still in the ceiling. This is the single most valuable security feature in the entire Microsoft 365 stack, and it is included in the plan.

Replaces a third-party endpoint protection subscription running $5–15 per user per month. Configuration takes a few hours per environment. Once running, it monitors continuously and requires almost no ongoing attention.

Feature 3

Intune (device management)

Included in Business Premium only

If your business still sets up laptops manually, relies on staff to keep their devices compliant, or has no visibility into whether personal phones accessing company email are secure, Intune is the tool sitting unused in your Premium license. It lets you deploy applications and settings to new devices automatically, enforce security policies (screen lock, disk encryption, antivirus updates) across every laptop and phone in the business, and remotely wipe a device if an employee loses their phone or leaves the company.

For a business with more than five or ten employees, this replaces a standalone device management platform that would otherwise run $4 to $8 per user per month. The setup is meaningful work, but the payoff is compounding — every new hire onboards faster, every lost device is a policy click instead of a security incident, and every compliance question has a documented answer.

Feature 4

Multi-factor authentication and Conditional Access

MFA in all plans, Conditional Access in Premium

Multi-factor authentication (MFA) is included in every Microsoft 365 plan. It means that even if a password is stolen, an attacker cannot log in without also having the second verification step. This is the single most effective control against email compromise, credential theft, and account takeover. Turning it on takes maybe an hour for a small business tenant. Most small businesses have never done it.

Conditional Access is the Business Premium upgrade. It lets you say things like “only allow logins from the U.S. unless the user is on a company-managed device” or “require MFA for any access to financial data” or “block sign-ins from countries where nobody in the company works.” These are the controls that stopped most of the account compromises we have seen in our own client base over the last five years.

Real Value on the Table

MFA alone prevents the vast majority of credential-based account takeovers. Adding Conditional Access on Premium closes the remaining gaps. If your cyber insurance policy asks whether you enforce MFA, “yes” is the answer that keeps your premium down.

Feature 5

Power Automate and Microsoft Lists

Included in Business Standard and Premium

Power Automate is the tool that replaces the little manual tasks nobody enjoys doing. Approval workflows for expense reports. Automated email routing based on subject lines. Notifications when a shared spreadsheet gets edited. Reminders for tasks that repeat every month. None of it requires code. Most of it takes 15 to 30 minutes to set up per workflow, and then it just runs, forever, in the background.

Microsoft Lists is the same idea for structured information. A shared list of client statuses. A tracker for equipment loans. A simple project board. Instead of building a separate database or paying for Airtable, you spin up a Microsoft List in the browser in about five minutes and it lives inside Teams for your team to work with.

Reduces repetitive administrative work. Replaces low-cost SaaS tools in the $8–15 per user range. Reclaims hours a week for teams that automate the right processes.

Feature 6

Purview data loss prevention

Included in Business Premium; expanded add-on available

Purview is Microsoft’s data protection layer. Its most useful feature for small businesses is data loss prevention (DLP), which automatically detects and blocks sensitive data — social security numbers, credit card numbers, protected health information — from being shared through email, Teams, or SharePoint by mistake. An employee tries to email a spreadsheet with 200 client credit card numbers to a personal Gmail account, Purview blocks it. An intern accidentally shares a document containing SSNs in a Teams channel, Purview flags it and alerts a designated administrator.

For businesses handling regulated data — healthcare offices, financial firms, law practices — this is compliance infrastructure that is either built into your Premium plan or available as a $10 per user per month add-on. Most small businesses do not know it exists.

Prevents accidental data exposure — the single most common cause of small business data incidents. Provides an audit trail for cyber insurance and regulatory questionnaires. Included in Premium; a fraction of what standalone DLP platforms cost.

A Note About Copilot

Microsoft 365 Copilot is the AI assistant Microsoft has been aggressively pushing since 2024. Business-tier Copilot pricing sits around $21 per user per month on top of your existing plan, with promotional pricing at $18 for qualifying SMB customers. For most small businesses, it is not yet worth the money — the productivity gains are real for some roles (drafting, summarization, data analysis) and marginal for others. If a vendor is pushing you to add Copilot immediately, ask them to name the specific workflows it will improve for your team before you commit. Do not buy it on faith.

Choosing a Plan

Which Plan Fits Your Milwaukee Business

There is no universal right answer, but there are patterns we see over and over across Milwaukee small businesses. Here is the short version.

Business Basic ($7 per user per month) makes sense for businesses where the entire team lives in a web browser or on mobile, and nobody needs the full desktop versions of Word, Excel, or PowerPoint. Frontline retail, some hospitality, small nonprofits. If someone on your team opens Excel on a laptop more than twice a week, Basic is too limited.
